Job Description

Job Title: HR Assistant

Pay Rate: $28 per hour (maximum)

Position Summary

Our client is seeking a detail-oriented and customer-focused HR Assistant/Administrator to support our growing team. This role requires strong administrative and communication skills, a positive attitude, and the ability to work in a fast-paced environment. The HR Assistant will support core HR functions, including onboarding, leave administration, data entry, and general HR support.

Primary Responsibilities

  • Onboarding & Offboarding : Coordinate new hire orientations, process I-9s, and ensure accurate data entry into HRIS (SuccessFactors). Handle employee terminations, exit interviews, and final benefit communication.
  • HRIS Administration : Maintain employee records and manage data in SuccessFactors. Generate reports and assist with compliance-related documentation.
  • Leave Management : Act as a liaison for leave-related programs including short- and long-term disability, FMLA, workers’ comp, and parental leave. Support employees and managers with leave-related questions and documentation.
  • Immigration & Compliance Support : Assist with immigration-related paperwork and maintain HR compliance records.
  • Employee Relations : Recognize and escalate employee relations and ADA concerns as needed.
  • Administrative Support : Support HR functions with general administrative tasks such as correspondence, mail distribution, file management, and compliance reporting.
  • Recruiting & Onboarding Support : Maintain job requisitions, post job openings, coordinate background checks, and track employee referrals.
  • Contingent Workforce Management : Oversee the contingent worker process and ensure timely processing.
  • Additional Projects : Support HR with special projects including affirmative action plans, workers’ compensation reporting, and employment verifications.

Qualifications

  • Associate Degree required; BA/BS preferred
  • 1–3 years of experience in Human Resources
  • Strongly preferred: Previous HR administration experience

Key Skills

  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, Teams, SharePoint)
  • Working knowledge of SuccessFactors (preferred)
  • Highly organized with strong attention to detail
  • Able to handle confidential information with discretion
  • Self-starter with the ability to prioritize tasks and manage multiple projects
  • Strong interpersonal skills; team-oriented with the ability to interact across all staff levels
  • Familiarity with HR regulations (FMLA, PFMLA, USERRA, ADA)
  • Skilled in database reporting and presenting data in a user-friendly format
  • Strong verbal and written communication skills
  • Professional demeanor and ability to foster positive working relationships
