Job Description

Overview:

We are seeking a highly organized and personable Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing a variety of administrative tasks. This role requires proficiency in office management and strong communication skills, as well as the ability to handle multiple tasks efficiently in a fast-paced environment.

1. Member & Guest Services

  • Greet all members and guests with a friendly, professional attitude.
  • Check members in/out using the gym’s software.
  • Verify memberships, day passes, and guest waivers.
  • Provide tours for potential new members.
  • Explain membership options, promotions, and pricing clearly.
  • Handle new member sign-ups, freezes, upgrades, and cancellations according to policy.
  • Ensure all guests complete liability waivers before using the facility.

2. Customer Support

  • Answer phone calls promptly and professionally.
  • Respond to emails and inquiries.
  • Assist members with account questions (billing, memberships, schedules).
  • Resolve complaints or escalate to management if necessary.
  • Be able to  accept constructive criticism and use it to improve performance.
  • Use  de-escalation techniques to calm upset or frustrated members and resolve issues professionally.

3. Retail & Sales

  • Sell gym merchandise (shirts, supplements, wraps, gear).
  • Process payments for retail items, memberships, and day passes.
  • Restock retail and supplement shelves as needed.
  • Track inventory and notify management of low stock.
  • Handle cash transactions accurately, including  counting and reconciling cash drawer at the begin and end of shift.

4. Facility Monitoring & Cleaning

  • Ensure all members check in properly before entering.
  • Monitor gym traffic and enforce rules politely (re-rack weights, be respectful, etc.)
  • Walk through the gym every hour to:
  • Pick up loose weights.
  • Re-rack and organize equipment.
  • Collect trash and replace liners.
  • Wipe down high-touch areas (benches, handles, counters, shop).
  • Wipe down counters, front desk, and lobby area regularly.
  • Clean and sanitize cardio and strength machines.
  • Refill paper towels, cleaning spray bottles, and sanitizing stations.
  • Notify maintenance/management of any broken or unsafe equipment.

5. Administration

  • Update member database with accurate information.
  • File and organize waivers, agreements, and forms.
  • Assist management with event sign-ups (smokers, competitions, seminars).
  • Maintain lost and found log.
  • Track guest sign-ins and day pass sales daily.
  • Handle mail runs and deliveries as needed.

6. Security & Safety

  • Check IDs when necessary.
  • Monitor who enters/exits to prevent unauthorized access.
  • Ensure doors are locked/unlocked at scheduled times.
  • Follow emergency procedures (injury, fire, severe weather).

7. Opening & Closing Procedures

  • Opening: Turn on lights, music, check-in system, wipe down counters, refill cleaning supplies, and do a walk-through of the gym floor.
  • Closing: Walk through entire facility, pick up weights, remove trash, sanitize equipment, secure entrances, turn down/up lights/music, and balance cash drawer.

8. Event/Community Support

  • Help with sign-ups and promotion for gym events, smokers, or competitions.
  • Provide information about coaches and schedules.
  • Support vendors or sponsors during gym-hosted events.

9. Management Support

  • Assist with any special projects, tasks, or requests given by management.
  • Provide updates and reports as requested.
  • Step in to support other departments when needed.

10. Physical & Professional Requirements

  • Must be able to lift and carry up to 50 lbs (weights, equipment, boxes, or supplies).
  • Must be able to stand and walk for extended periods during shifts.
  • Must be comfortable handling  constructive criticism and adjusting accordingly.
  • Must be able to  de-escalate situations calmly and professionally .
  • Must be responsible and accurate in  handling cash, counting, and balancing registers .

Experience

  • Previous experience in a front desk or receptionist role is preferred.
  • Familiarity with office management practices and procedures is essential.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required; experience with Google Workspace is a plus.
  • Strong organizational skills with the ability to manage time effectively and prioritize tasks.
  • Excellent phone etiquette and customer service skills are crucial for success in this role.

  • Experience as a dental or medical receptionist is an advantage but not mandatory; personal assistant experience will also be considered relevant.
